Job Title: Project Coordinator III 28973-1Duration: 12 monthsJob Type: W2Job Location: Fremont, CAJob Description: Specialty Projects is the arm of the Meta office construction team that deploys interactive digital partner centers, unique technology installations, novel construction or deployment processes, and other bespoke projects. We deploy technology in innovative spaces that help drive collaboration, community and partner engagement, push the boundaries of employee facing technology, and service a broad array of internal construction project needs.The Project Management Associate is responsible for assisting the Specialty Project Managers (SPM) with activities throughout the full cycle of design, procurement, scheduling and deployment of IT and other equipment in Meta offices during construction and up until the first day of business. Examples of activities include setting up the framework for projects, creating online folders for documents and drawings, kicking off initial automated tasks flows, and reviewing CAD drawings to ensure quality. In addition, the role includes coordination of ongoing construction projects, driving procurement tasks, ordering, shipping and receiving, tracking and reporting project progress weekly, and assisting with post-project review.Responsibilities:Assists the SPM in the tactical activities needed throughout the design, procurement, deployment and commissioning of projects in Meta office builds.Specific duties include:Create and track tasks for project life cycleCreate first equipment Bill of Materials (BOM) using templatesManage Procurement Tasks in Meta internal task systemManage End User procurement and deployment portion of projectsVerify quotes and purchase ordersTrack orders and work with Logistics to coordinate deliveries and ensure equipment is receivedIdentify risks to procurement e.g. long lead times, customs clearance etc.Track overall project progress in weekly reportsProject Meeting minutes writeupSupport SPM with project completion presentations, reports, and updatesMaintain the document repository, various workplace groups and chats with external vendorsCoordinate with Engagement and Logistics teams for deployment and commissioning of equipment on siteAttend on-site fit up week prior to First Day of Business as appropriate, to support DPM and cross functional teamsChase invoicing and payments/credit notes, closing out POsCross-check various tools to ensure project information is up-to-date on all platformsSet-up lessons learned meetings post FDOBExperience and Qualifications:High School Diploma with some college desired1-2 years experience with Project Management3-5 Years experience with coordinating schedules, supporting inventory and or logistics, managing communications & timelines, finance tracking, along with managing small projects autonomouslyPractical experience with Google Docs, Excel, PowerPoint, Outlook, Word and WorkPlace1 year of experience with CAD, Plangrid or other drafting software a plusConstruction, new builds, AV/VC or technology deployment a plusExperience within PDF view and editors such as adobe, bluebeam, or similar a plusPrior experience with financial systems and processes a plusInterpersonal Qualifications:Ability to work effectively across multiple teams in a time sensitive capacitySelf-motivated & highly adaptable, able to work autonomouslyExcellent written and verbal communication skillsHighly organized with strong attention to detailExcellent time management skillsCommunication and reporting skillsCandidate must have 3-5 years experience in project management or project coordination, schedule management for longer term projects, budgeting or finance experience in order to be considered. Candidate must also be agile, flexible, and detail oriented. Experience in construction and a Bachelor’s degree is preferred.
